Shipping policy

[Please read before ordering]
Vi-FA is a specialty store operated by a small team. We do not offer same-day or next-day dispatch, and we cannot accommodate requests for delivery by a specific date or time (for example, "must arrive before the weekend race"). Please order well in advance.

This English Shipping Policy applies to international orders shipped to addresses outside Japan. For deliveries within Japan, the Japanese version of our Shipping Policy applies.

1. Countries and regions we ship to

We currently ship internationally to the following countries and regions:

  • Asia: China, South Korea, Taiwan, Hong Kong, Macau, Singapore
  • Europe: Belgium, Denmark, Finland, France, Germany, Luxembourg, Norway, Sweden
  • Middle East: United Arab Emirates
  • North America: United States, Canada

If your country is not listed above, checkout will not accept your address. Please contact us by email — individual arrangements may be possible.

2. Shipping method

International orders are shipped by Japan Post EMS (Express Mail Service), a tracked and insured express service. If EMS is unavailable for any reason, we may use another international carrier of an equivalent service level.

3. Shipping rates

Shipping rates for international orders are calculated automatically at checkout based on the total weight of your order and the destination country. The rate shown at checkout is the final shipping charge and includes packaging materials and handling.

  • Free-shipping and shipping-discount offers for domestic (Japan) orders do not apply to international orders.
  • If your order contains items from both of our shipping groups (compact items and oversized items), shipping is calculated for each group and charged together, as the groups may be packed and dispatched separately.
  • Orders exceeding approximately 2 kg in total weight cannot be completed at checkout. Please contact us before ordering for an individual quote.

4. Processing time (until dispatch)

Orders are normally dispatched within 3 business days after payment confirmation (up to 7 business days during busy periods). Made-to-order items require approximately 2 weeks. Business days exclude Saturdays, Sundays, and Japanese public holidays; long national holiday periods (New Year, Golden Week, Obon) may add extra time. We will email you if your order needs longer than these estimates.

5. Delivery time (after dispatch)

EMS delivery typically takes 3–7 days from dispatch, depending on the destination and customs processing. Delays caused by weather, carrier conditions, or customs inspection are outside our control.

6. Tracking

A dispatch confirmation email with a tracking number is sent automatically when the shipping label is issued. Tracking may take up to one day to become visible in the carrier's system. EMS shipments can be tracked on the Japan Post website and on your local postal operator's website.

7. Customs duties, import taxes and fees

All customs duties, import taxes (including VAT/GST) and customs clearance fees imposed by the destination country are the responsibility of the recipient. Our product prices and shipping charges do not include destination-country taxes or duties. Depending on your local regulations, payment may be required before or upon delivery.

If a package is refused, left unclaimed, or returned to us because import charges were not paid, the outbound shipping cost, return charges and any fees imposed on us will be deducted from any refund. In such cases the original shipping charge is non-refundable.

8. Address accuracy and undeliverable packages

Please make sure your address is complete and correct (postal code, unit/apartment number, and recipient name in Latin characters). If a package is returned to us due to an incorrect or incomplete address, or because it was not collected within the carrier's holding period, re-shipping costs are borne by the customer.

9. Lost or damaged shipments

If a shipment is lost in transit (confirmed by the carrier's investigation) or arrives damaged, we will send a replacement or issue a refund at our expense in accordance with our Refund Policy. Please contact us within 7 days of delivery — or, for lost packages, within a reasonable time after the expected delivery date — including photos where applicable.

  • Delivery on or by a specific date or time cannot be guaranteed or arranged.
  • We ship to residential and business addresses only; pickup at carrier offices or convenience stores is not supported.
